1.Introduction and scope

This Privacy Policy sets out the principles that Gou Ze Trade follows when visitors use this website, which serves Tongshan Gouze Trading Co., Ltd.. The site presents the channel trade and distribution coordination services of the company and allows visitors to send inquiries. This policy explains which personal data may be collected, the reasons for collection, how the data is safeguarded, and the choices that visitors hold over that data.

The policy applies to data gathered through this website, through email messages sent to hello@gouzetrade.buzz, through telephone calls to +18456093758, and through the inquiry form on the contact page. The policy does not apply to external websites that are linked from this site, because each of those sites keeps its own privacy rules.

We wrote this policy in plain terms so that a reader without a legal background can understand our approach. Where the language of a global regulation and this plain summary differ, the written rule that is legally binding for your region will govern. We review this document at least once each calendar year and whenever our data practices change in a meaningful way.

Summary for quick reading. We collect only the personal data that is needed to answer an inquiry, run the warehouse channel, and fulfil orders. We do not sell personal data. We use administrative and technical controls to protect it, and we honour your right to ask for a copy, a correction, or the removal of your details.

2.Who we are

The developer and publisher of this website is Gou Ze Trade. Gou Ze Trade builds and maintains this site on behalf of the trading business known as Tongshan Gouze Trading Co., Ltd.. The trading company operates its warehouse and channel operations out of Guantang Village in Tongshan County, Xianning, within the Peoples Republic of China.

For the purposes of this policy, the terms Gou Ze Trade and the Company both refer, where context allows, to the staff who run the website and the trading office under the direction of Tongshan Gouze Trading Co., Ltd.. The address used for written correspondence is No. 278, Group 6, Guantang Village, Dafan Town, Tongshan County, Xianning - 437000, China (CN). The general contact email is hello@gouzetrade.buzz and the public telephone line is +18456093758.

When this policy refers to your or the user, it means any person who browses the site, submits an inquiry, requests a quotation, places an order, or otherwise get in touch with the Company in connection with the services described on the site. Because the trading and warehousing business is B2B in character, a large share of the data we handle concerns companies, and this policy also explains how we approach the personal data of the individuals who act for those companies.

3.Information we collect

The precise set of data we hold varies with the relationship between the visitor and the Company. The list below groups the information into broad categories so that the reader can see the full picture.

Information you choose to give us

  • Contact identifiers that you type into the inquiry form, such as your full name, your email address, and the subject line that you select.
  • The message content that you write, which may include company name, product categories, volumes, target regions, timing, and other details that help us prepare a quote or a plan.
  • Details you share in a follow-up telephone call to +18456093758, such as your role, your company name, and the nature of your goods.
  • Documentation that you attach or send by email for a quotation, such as product lists, packing details, or reference images.
  • Business billing and delivery information for clients who move into an active engagement, including consignee name, physical delivery address, and invoice references.

Information collected automatically

  • Technical identifiers of the device and browser that you use, such as the browser type and its version, the operating system, and screen resolution ranges.
  • Network data such as your general region derived from your internet address and the pages you view, kept at a level that does not single you out.
  • Measurement data such as the date and time of a visit, the approximate length of the visit, and the page that led you to this site.
  • Small files described later in this policy that some browsers place on the device, unless your browser settings refuse such markers.

We do not deliberately collect sensitive categories of data such as health records, religious belief, or trade union membership. If you include such detail in an open message field by mistake, we treat it with the same protection and delete it as soon as its need passes.

4.How information is collected

Most personal data reaches us through the contact form on the website. When you press the send button, the details travel in an encrypted mail exchange to the address hello@gouzetrade.buzz, unless your browser or web email provider chooses an alternate route. In some configurations the form opens the visitors own email application, in which case the transfer is governed by the privacy rules of that mail service.

We receive data by direct conversation when a visitor telephones +18456093758 or sends an ordinary email. Our staff note relevant details in the client file, but they record only what is useful for the trading relationship and not incidental commentary.

Automatic data arrives when your browser requests pages from our server. The web server logs minimal network fields to keep the site stable and to guard against abusive requests. We read these logs as aggregate figures rather than as a profile of any single visitor.

We do not operate premium data brokers, we do not acquire mailing lists from third parties to cold-contact strangers, and we do not scrape public accounts for the purpose of building a prospect file. The data we hold is data that an interested party provided through normal commercial channels.

5.How we use your information

The Company uses personal data for purposes that follow directly from the work it does. The main uses are listed here.

  • To answer an inquiry and to identify the correct coordinator for the subject you raised.
  • To prepare quotations, channel plans, and delivery calendars that reflect your stated products and timing.
  • To manage supplier coordination, warehousing, inspection, documentation, and cross-region delivery once a client proceeds to order.
  • To maintain accounting records, invoices, and proof of transaction where a commercial relationship begins.
  • To send service updates, such as a change in warehouse hours, a holiday shutdown, or a delivery instruction that affects your shipment.
  • To comply with legal duties that apply to trading and exporting from the region where the Company is established, including audit and customs record keeping.
  • To defend the site and the mailbox against misuse, fraud, and attempted harm to our systems.
  • To measure, in aggregate form, which service pages draw genuine commercial interest, so that we can keep the site useful and honest.

We will not repurpose your data for a use that conflicts with the reason you first gave it to us unless we first tell you and obtain your consent where the law asks for it. Marketing mail is sent only with express agreement, and our newsletters, where offered, carry an unsubscribe link in every dispatch.

6.Lawful basis for processing

Different legal systems recognise different reasons for lawful data handling. We present the following foundational reasons that apply across the jurisdictions of the trading business and its principal clients.

Consent applies where a visitor freely chooses to share details through a form or a conversation and clearly understands why the data is wanted, most often to receive a quotation or a plan.

Contract performance applies once a client and the Company agree an engagement, because the Company needs names, addresses, and product detail to perform the coordination services promised in that contract.

Legitimate interest applies to keeping the website secure, replying to genuine business correspondence, maintaining accounting records, and preventing fraud. Where we rely on this reason, we weigh our need against the reasonable expectation of a visitor that their details be kept in confidence, and we stop at the least intrusive method.

Legal obligation applies to retention of records that the tax, customs, and trade authorities require a trading company based near Xianning to keep.

Where the law of your own region adds further conditions, we respect those conditions before acting. Nothing in this policy intends to override a mandatory rule that protects you in the country where you live or operate.

7.Legal ground notes for selected regions

Because trade partners may sit in the European Economic Area, the United Kingdom, the United States, and elsewhere, we add region specific notes so the grounds you need to read are easy to find.

For visitors in the European Economic Area and the United Kingdom

For these visitors, processing rests on the grounds of consent, contract necessity, legal obligation, and the legitimate interest of a trading company to run a secure and responsive site. You may raise any concern with your local data protection authority, in addition to the channels we offer in this document.

For visitors in the United States and other common law markets

Several state laws grant rights such as access, correction, deletion, and a barrier to the sale of personal data. The Company does not sell personal data, and honour the deletion and access rights described in the rights section of this policy.

These notes are summaries for orientation and do not replace the detail in the sections that follow. Where a stricter local rule applies to you, the stricter rule wins.

8.Cookies and automatic markers

This site is built to be light and mostly free of tracking. It sets no marketing cookies and does not load third party advertising code. Any cookie or similar marker is used for one of the limited reasons below.

  • Session needs that keep the site working and stable while you move between pages.
  • Security markers that help us notice unusual or abusive request patterns from a single source.
  • Aggregate traffic insight, gathered in a way that does not identify an individual visitor.

You can control these markers through your browser. Most browsers let you block cookies, clear stored ones, or run a private session. Blocking all markers will not stop the site from rendering, though the mobile menu and small convenience features may depend on the session state that a marker provides. We recommend that business users keep default security settings and use a private window for sensitive correspondence.

9.Sharing and disclosure

We keep personal data inside the Company unless sharing is required to do the job you asked for or is compelled by law. The main categories of sharing are set out here.

  • Warehouse and logistics partners. When a shipment must move across a region, we share the address, contact line, and item detail with the haulage, storage, or customs agents who physically execute the movement.
  • Supplier workshops. When a client product line has to be made or finished, we share specification and quantity details with the workshops that produce the goods.
  • Service providers. We use email, hosting, and secure file services that may briefly store content in transit. We choose providers who accept standard data protection clauses where we are not sure their home regime matches ours.
  • Professional advisers. We may share limited detail with accountants, lawyers, and customs brokers to comply with a rule or to defend the Company in a dispute.
  • Authorities. We disclose data when tax, customs, police, or a court asks under lawful authority and we judge the demand to be valid.

We never sell personal data, and we never rent a contact list. When a share happens for a commercial reason, it happens only to the degree needed for the specific shipment or the specific quotation, and the recipient is bound by its own duty of confidentiality.

10.International data transfers

The Company is established in China, and its primary office and warehouse stand in Guantang Village, Tongshan County, Xianning - 437000, China (CN). Data you send to us in the course of a quotation or an order may therefore cross an international boundary to reach our systems or those of a logistics partner in your delivery region.

When a transfer touches a region that has a protective data law, we rely on a recognised mechanism. Where a binding adequacy finding does not exist, we use the contractual clauses that the relevant regulator publishes, or we seek your consent for the particular transfer, or we rely on the fact that the data is needed to perform the trading contract you requested.

The practical effect for most visitors is small: shipment data must reach the country of arrival anyway, because that is where the goods clear customs. We keep the amount transferred to the minimum, we keep the window of transfer short, and we keep the record accurate enough for the border to process it without asking you for more than the facts require.

11.Data retention periods

We keep personal data no longer than the purpose that brought it to us. The guidance below states the periods we follow in practice.

Kind of dataRetained forReason
Contact form memory that never becomes a clientAbout 24 monthsTo reply well to later contact
Quotation files for an active prospectLife of the quotationContract preparation
Records of a completed shipmentUp to 60 monthsAccounting and trade law
Invoice and tax vouchersAs the tax authority requiresLegal obligation
Security and server logsAbout 12 monthsSite protection

When a retention period ends, we delete or irreversibly anonymise the records. Where a record is part of an ongoing dispute or an open audit, we set retention aside until the matter settles, and then we release it. We apply the same timetable to data stored by the suppliers and haulers who act for us, because our contracts require them to mirror our schedule.

12.Data security measures

Protecting the details of the trade partners is a working duty, not a slogan. Our controls are proportionate to the B2B character of the data and are described below so you can judge the level for yourself.

  • Encrypted transfer for web traffic over the public internet, so data in motion is not readable to a passer-by.
  • Access limited to named staff whose role genuinely requires the file, with a password policy that is reviewed and renewed at least every few weeks.
  • Two layer protection for any system that stores client lists or invoices, so one stolen credential alone is not enough to reach the data.
  • Offline or separate backup copies, taken according to a tested schedule, so a single event cannot destroy the ledger of a partner.
  • Physical control of the Guantang Village warehouse and its paperwork, including a lock for the archive and a rule that documents travel in sealed, marked envelopes.
  • A short and documented breach response. If data that identifies a person is lost or misused, we will assess the risk, notify the affected client without delay, and inform the relevant authority where the law requires it.

No system is perfectly safe, and we cannot promise that a determined attacker will never succeed. What we can promise is that we protect the data as carefully as we protect the crates in our own warehouse, and that we answer openly if a difficulty ever arises.

13.Children and privacy

This website offers professional trade coordination and does not aim its services at children. The services of the Company move commercial goods between businesses, and the content assumes a reader who manages purchasing or logistics as part of a company role.

We do not knowingly collect personal data from anyone below the age of sixteen. If a young person sends a message through the form by error and a parent or guardian tells us about it, we will remove the message and any stored detail from our systems without argument.

Parents who believe their child shared data with the Company may write to hello@gouzetrade.buzz or telephone +18456093758, and our staff will treat the request as urgent because the protection of a minor always outranks a commercial record.

14.Your rights and choices

Depending on where you live and on the legal relationship we share, you hold a set of rights over your personal data. We honour them without charge and without penalising you for raising a question.

  • Access. Ask us for a copy of the personal data we hold about you.
  • Correction. Ask us to fix a name, an email, an address, or a product detail that is wrong or out of date.
  • Deletion. Ask us to erase data where there is no lawful reason to keep it.
  • Restriction. Ask us to pause processing while a question about accuracy or a legal claim is checked.
  • Portability. Ask us to hand you the structured data you gave us in a common machine readable form.
  • Objection. Object to processing that rests on our legitimate interest, and we will stop unless we can show a reason that overrides your objection.
  • Withdrawal of consent. Where collection rests on your consent, you may withdraw it at any time, and we will stop the consent based activity from that point on.
  • Opt out of marketing. Decline or unsubscribe from any promotional message we ever send, and we will not place you back on a list without a fresh request from you.

These rights are not absolute. A right will not be honoured where keeping the data is required by the contract you asked us to perform, by a tax or customs duty, or by a valid order of an authority. Where we must decline all or part of a request, we will say why in clear language.

15.Requests and how to exercise rights

To act on any of the rights above, or to raise a complaint, send a message to hello@gouzetrade.buzz with the words privacy request in the subject line, or telephone +18456093758 and ask for the data protection contact.

We will verify your identity before we hand over data or delete anything, because a trading file can hold details that belong to your company and to the ledger. For that reason we may ask you to confirm the email address you used, or to send the request from that same address so the reply reaches a verified inbox.

Download free text: almost every reasonable request is answered within one month. If a request is complex or arrives during the Chinese new year shutdown, we may need a further month, and we will tell you within the first month that an extension is needed. You will never be charged a fee for an ordinary request, though a repeated or unfounded demand may carry an administrative charge allowed by your local rule.

16.Third party links and sites

This site links from time to time to external pages that are helpful to a trade buyer, such as regulator volumes, port schedules, or industry guides. This Privacy Policy stops at our own boundary, and we do not control what an external website collects once you leave this page.

Before you follow an external link, you may want to read the privacy notice of the target site. We choose external references for their usefulness and reputation, but we cannot accept responsibility for a promise made on a page that we did not publish. Where an external tool embedded on our site runs its own code, for example a payment or booking service we may later add, that tool keeps its own policy which you will see before you hand it data.

17.Marketing communications

The Company keeps its outbound mail honest and rare. It does not send bulk offers to people who only browsed the site. A marketing message is sent only when a person or a company asks to receive news, for example by requesting to stay informed about seasonal channel capacity.

Every promotional email will identify the sender as Gou Ze Trade or Tongshan Gouze Trading Co., Ltd., will show a working office address, and will include a clear unsubscribe line. Honouring an unsubscribe takes effect within a few working days. If you receive what looks like a promotional message from the Company that you never asked for, forward it to hello@gouzetrade.buzz so our team can trace the source and close any leak.

18.Changes to this policy

We revise this Privacy Policy when the law changes, when our services change, or when we discover a fairer way to explain our data handling. The date at the top of the page shows when the current version became effective.

For a change that narrows your rights or widens what we collect, we will publish a prominent notice on the homepage before the new text takes force, and where the law asks for fresh consent we will ask for it rather than assume it. For a minor wording change that does not affect your rights, we may simply post the revised version and keep the earlier one available on request.

We encourage anyone who cares about the topic to read the policy again now and then, because the data world moves and a document written once cannot always speak for itself a year later.

19.Contact details for privacy matters
